$55,000 – $65,000 per year.

This opportunity (Bid Coordinator will support the estimating department in organizing
vital documents while establishing strong relationships with trade partners to evaluate
competitive bid proposals.

Key Responsibilities:

• Establish solid relationships
• Secure 3-5 Critical Subs per trade
• 60% response rate
Roles & Responsibilities:
• Set up new project file in Procore and/or BidMail
• Coordinate Estimating meetings
• Update Estimating Calendar and Bid Schedule daily.
• Prepare ITB (Invitation to Bid) by gathering/printing proposals, blueprints,
specifications, and related documents.
• Track all future Amendments/Addendums, check agency, client websites and
download files as needed.
• Go thru bid package to understand all proposal requirements and fill out bid
• Ensure all bid forms/packages are filled in correctly and properly signed and
• Request bid bonds.
• Maintains all logs with regards to all correspondence, memos, and RFI
documentation (Request for Information).
• Prepare good faith efforts – per Agency requirement.
• Call Subcontractors as needed to ensure proposal sub coverage
• General office duties such as filing, faxing, copying, scanning, answering phones,
distribution of phone messages, preparing meeting agendas, taking meeting
minutes and distributing to appropriate parties, and customer service with
subcontractor, vendors and government agencies
• Maintains cost data base by entering and backing up data.
• Presents prepared estimates by assembling and displaying numerical and
descriptive information.
• Maintains technical knowledge by attending educational workshops, reviewing
technical publications.
• Contributes to team effort by accomplishing related results as needed.
