We are seeking a skilled Construction Project Administrator with expertise in utilizing NetSuite or Timberline software to support project management functions. The ideal candidate will play a critical role in facilitating the efficient and effective execution of construction projects by providing administrative support, managing project documentation, and assisting with financial tracking and reporting. This position requires strong organizational skills, attention to detail, and proficiency in construction management software.


  • Create, organize, and maintain project documentation, including contracts, drawings, specifications, change orders, and RFIs.
  • Ensure that all project-related documents are accurately filed and easily accessible to project stakeholders.
  • Assist in the preparation and distribution of project correspondence, meeting minutes, and reports as needed.
  • Input and maintain project financial data in NetSuite or Timberline, including budgets, commitments, invoices, and payment applications.
  • Generate financial reports and dashboards to track project expenses, revenue, and profitability.
  • Assist with cost analysis, variance analysis, and forecasting to support project decision-making and budget management.
  • Assist in the solicitation and evaluation of subcontractor bids and proposals.
  • Prepare subcontract agreements and purchase orders, ensuring compliance with project requirements and company policies.
  • Monitor subcontractor performance, including progress payments, insurance documentation, and compliance with contract terms.
  • Track and document all changes to project scope, schedule, and budget.
  • Coordinate the review and approval of change orders with project stakeholders.
  • Update project documentation and financial records to reflect approved changes and ensure alignment with project objectives.
  • Serve as a liaison between project team members, subcontractors, suppliers, and clients.
  • Facilitate communication channels through regular meetings, email correspondence, and document sharing platforms.
  • Foster a collaborative and positive working environment to promote project success and team cohesion.


  • Proven experience as a Project Administrator or similar role in the construction industry.
  • Proficiency in construction management software, particularly Netsuite or Timberline.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent written and verbal communication skills, with a keen attention to detail.
  • Familiarity with construction contracts, procurement processes, and industry standards.
  • Ability to work independently with minimal supervision and collaborate effectively within a team environment.
